IFAs and wealth managers

Automation and reporting for IFAs and wealth managers

Advice firms run on data that lives in too many places: the back office system, platform feeds, the CRM, the accounts and a long tail of spreadsheets. Reconciling fees, reporting to clients and evidencing good outcomes all take longer than they should. We build the automation and reporting that pulls it together, so advisers spend their time advising.

The data problem in advice firms

A typical IFA or wealth management firm holds client data in a back office system, receives valuations and fee statements from several platforms, tracks prospects in a CRM and runs the business in a separate accounting system. None of these agree without work. Fee income is reconciled by hand. Management information is assembled monthly in Excel. Client reviews rely on pulling data from three screens.

The regulatory direction, including Consumer Duty, makes this harder still: firms need to evidence outcomes and value across the client base, which is only practical if the data is joined up.

What we build for advice firms

  • Fee and revenue reconciliation: matching expected adviser charges to platform and provider statements, flagging shortfalls and missing payments automatically
  • Management information dashboards: funds under advice, revenue by adviser and client segment, new business pipeline, client retention and profitability
  • Client reporting: consistent, branded review packs and valuations drawn from live data rather than assembled by hand
  • Consumer Duty and outcomes reporting: evidence of value, service delivery and client outcomes across segments, drawn from the firm's own data
  • Document processing: extracting data from provider correspondence, policy documents and application forms into structured records
  • Integrations between the back office system, platforms, CRM and accounts, so data is entered once
  • Governed AI assistants that help paraplanners and advisers find information across client files, with citations and access controls

Governance and data protection come first

Advice firms handle sensitive personal and financial data and are answerable to the FCA. Everything we build runs in the firm's own cloud tenant, with role-based access, full audit logging and data processing agreements in place. Where AI is used, outputs are traceable to source documents and a person approves anything client-facing.

We design to the standard a compliance officer would expect, because it is the standard finance work has always demanded.

Finance understanding, not just integration

Reconciling adviser fees is an accounting problem as much as a data problem: accruals, clawbacks, VAT treatment and timing differences all matter. Firms often find that a pure IT integrator moves the data faithfully and misses the finance logic. We bring both, which is why our reconciliations balance.

If your firm's management information is still assembled in Excel or your fee reconciliation takes days each month, we can help.

Good questions, straight answers

Which back office and platform systems do you integrate with?

We work with the main UK adviser back office systems and platform data feeds through their APIs or scheduled data exports, and with the CRM and accounting systems alongside them. If a system has no API we build a robust file-based pipeline with reconciliation checks.

Can you help with Consumer Duty reporting?

Yes. We build outcomes and value reporting from the firm's own client, service and fee data, so the firm can evidence what it delivers to each client segment with numbers rather than narrative alone.

Is our client data safe with AI tooling?

Everything runs in your tenant with enterprise model endpoints, no training on your data, full logging and role-based access. We will also advise where AI is not appropriate for a given process.
