The finance challenge for school groups
A multi-academy trust or a group of independent schools is, financially, a group of businesses with shared services, restricted funds and a regulator. Each school has its own budget, staffing structure and income drivers. The trust has to consolidate them, report to the board and to funders, and demonstrate that resources are used well across the group.
Most trusts do this with a finance system that reports well on one entity and a great deal of Excel for everything else. Benchmarking between schools is manual. Forecasting pupil numbers and staffing costs across sites happens in separate spreadsheets. The central team spends its time assembling rather than analysing.
What we build for education groups
- Consolidated financial reporting across all schools and the central team, with fund-level reporting and drill-down to each site
- Benchmarking dashboards comparing schools on cost per pupil, staffing ratios, income per pupil, premises costs and the measures that matter to governors and funders
- Pupil-number-driven budget and forecast models: income, staffing and curriculum costs that flow from roll projections and class structures
- Integrated curriculum and financial planning, connecting the timetable and staffing plan to the budget
- Reserves and cash flow forecasting across the trust, with scenario analysis for funding changes
- Automated month-end and budget-holder reporting, so headteachers and business managers see their own numbers without the central team re-cutting the pack
- Data pipelines from the finance system, MIS and HR and payroll platforms into one reporting layer
Benchmarking that drives decisions
Benchmarking is only useful if it is consistent, current and specific enough to act on. We build benchmarking from each school's actual ledger and census data, normalised so that like is compared with like, and presented so a trust leader can see where a school sits against its peers and why. Combined with external benchmarks where available, it turns the annual budget conversation from negotiation into evidence.
Planning with pupil numbers as the driver
In education, almost every number traces back to pupils: funding, class sizes, staffing, catering, transport. A forecast that starts from the roll and the curriculum model, rather than from last year plus inflation, shows the real effect of a falling or rising intake years before it lands in the accounts. We build these driver-based models for trusts and school groups, integrated with the consolidated reporting so the plan and the actuals live in one place.
Why school groups work with us
We understand fund accounting, restricted income and the governance expectations of trust boards and funders, and we build the technology ourselves. That means a trust gets a finance partner who can design the reporting a board needs and also build the pipelines that make it refresh every month without manual effort.
If your trust or school group is reporting across sites in Excel, or planning without a pupil-driven model, we can help.
Good questions, straight answers
Which school finance systems do you work with?
We work with the finance systems commonly used by UK academy trusts and independent schools, along with MIS, HR and payroll platforms, through APIs or scheduled exports. If a system has limited export options we build a reliable pipeline around what it does provide.
Can benchmarking include external comparators?
Yes. We combine the trust's own school-by-school data with published benchmarking data where it is available, so a school can be compared with its peers inside and outside the group.
Do you work with single schools as well as groups?
Our work is most valuable for groups of three or more schools, where consolidation and benchmarking matter most. We do work with larger single independent schools on forecasting and reporting where the need is there.
The services behind this work
- Business intelligence
Power BI and custom dashboards for finance: management reporting, semantic models and the data engineering beneath them. Reporting that reconciles to the ledger and refreshes without anyone re-keying a number.
- FP&A and XP&A
Budgeting, rolling forecasts, driver-based models and board reporting, delivered as a fractional FP&A function. Extended into XP&A so sales, operations and people plans tie back to one set of numbers.
- Finance automation and data engineering
ETL and system integration for finance, automated reconciliations and a month-end that runs on pipelines rather than people. The data foundation that makes reporting, planning and AI possible.
