Accountancy practices

AI and automation for accountancy firms

Accountancy practices are being squeezed from both sides: clients expect fixed fees and faster turnaround, while recruiting and retaining qualified staff gets harder every year. The firms that thrive will be the ones that automate the processing work and redeploy their people into review and advisory. We help practices do exactly that, with technology built by people who understand the work.

The pressure on practice margins

Bookkeeping, VAT and year-end compliance are increasingly priced as fixed-fee services, which means every hour of manual processing eats directly into margin. At the same time, clients who have seen what cloud accounting can do expect their accountant to offer real-time numbers and forward-looking advice, not a set of accounts nine months after year end.

Most practices know this. The difficulty is finding the time and the technical skill to change how the work is done while still getting the work done.

What we build for accountancy practices

We work with practices as a technology partner that speaks the language of the profession. Typical projects include:

  • AI-assisted bookkeeping: automated transaction coding, supplier invoice and receipt capture, and bank reconciliation with exceptions routed to a bookkeeper for review
  • Document processing: extracting data from client documents, statements and contracts into structured records that flow into the ledger or the working papers
  • Client reporting dashboards: Power BI or web dashboards that give every client live management information from Xero, QuickBooks or Sage, branded to the practice
  • Practice management reporting: work in progress, recoverability, staff utilisation and client profitability in one place
  • Advisory tooling: forecasting and scenario models the practice can roll out across clients, turning FP&A into a repeatable advisory product
  • Benchmarking: comparing client performance across the practice's portfolio, anonymised and by sector
  • Integrations between the practice's systems so client data is entered once and used everywhere

AI bookkeeping that a reviewer can trust

The economics of bookkeeping change when a model does the first pass. But a practice is signing off those numbers, so the automation has to be transparent. We build AI bookkeeping with confidence scores on every coding decision, a review queue for anything uncertain, a full audit trail and a feedback loop so the system learns from the corrections your team makes.

This is the architecture behind our own Subready product for CIS subcontractors, and it is the architecture we bring to practice engagements.

From compliance to advisory

Once the processing is automated, the data is clean and current, and that is what advisory depends on. We help practices package forecasting, cash flow planning and management reporting into services they can deliver consistently to many clients, with templates and models that a manager can run rather than a partner having to build each time.

The result is a practice that earns from insight rather than from hours, and that has a reason to speak to each client every month.

Why practices work with us

We have been on the finance side of this work, we build production software, and we have shipped our own accounting product. That means we can scope a project in an afternoon, tell you plainly what AI can and cannot do for a given process, and build something your team will still be using in five years.

If your practice is looking at automation or AI and wants a partner rather than a vendor, we should talk.

Good questions, straight answers

Will AI bookkeeping replace our bookkeepers?

In our experience it changes their job rather than removing it. The first pass of coding and matching is automated, and bookkeepers move to reviewing exceptions, handling the judgement calls and spending more time with clients. Practices typically handle more clients per head with better accuracy.

Can you white-label dashboards for our clients?

Yes. We build client reporting that carries the practice's branding, connects to each client's accounting system and can be rolled out as a standard product across the client base.

Which accounting platforms do you work with?

Xero, QuickBooks Online, Sage, FreeAgent and Dynamics 365 Business Central, along with the practice management and document platforms most UK firms use.

Your finance stack should work as hard as your finance team.
